Who processes the data
The controller of the data you submit through this site is Friendly HR DOO, 9 Pariskih komuna, 11070 New Belgrade, Serbia, registration number 22164112, tax ID 115480341. For questions about data processing and exercising your rights, write to office@friendlyhr.rs or by post to the address above.
This policy applies to visitors of friendlyhr.rs and to people who send us a business enquiry, a detailed enquiry or a message. A separate portal, poslovi.friendlyhr.rs, exists for candidates applying for jobs. Information about processing in connection with applications is available on that portal; this page does not replace the notice intended for candidates.
What data you provide
Through the contact form you provide your full name, email address, company name, the selected topic and the content of your message. In the detailed enquiry we also ask for information about your hiring need, such as roles, number of people, place of work and conditions. Additional questions depend on the selected service. Fields not marked as required are optional.
The company name and details of the business need may be business information, but we link them to the person who sent the enquiry. Please do not enter personal identification numbers, identity document numbers, health data, candidate CVs or other third-party data in free-text fields that are not needed for us to understand your need.
With each enquiry we also record data about the submission itself: time of submission, form language, the address of the page from which the enquiry was sent, campaign tags from the page address (utm parameters) and the referring address, if any, the enquiry processing status, notification status, and confirmation that you have read the Privacy Policy, together with the time of confirmation and the version of the text shown. This acknowledgement is not consent to marketing. For the operation of the site and protection against misuse, technical infrastructure providers also keep standard technical access logs.
Why we use the data and on what basis
We use enquiry data to understand the need, reply to the message, prepare a cooperation proposal and carry on the communication you requested. When you write to us as a company representative, the basis is our legitimate interest and the interest of the company you represent in having such business communication take place. If you contact us on your own behalf with a view to entering into a contract, we process the necessary data to take the steps you request before entering into a contract.
We also use basic technical submission data to protect the forms from automated and malicious messages, based on our legitimate interest in the secure operation of the site. We process data necessary to comply with a legal obligation for that purpose. If retaining a limited part of the correspondence is necessary to establish, exercise or defend a legal claim, we process only the data relevant to that claim.
Sending an enquiry is not a newsletter subscription and does not constitute consent to marketing messages. Enquiries are not automatically added to marketing campaigns. Analytics technologies, when activated, are used only with your separate choice in the cookie settings. Declining analytics does not prevent you from sending an enquiry.
You are not legally required to submit data through these forms. Without contact details and basic information about the need, we cannot process the enquiry and reply. You can provide further details in a later conversation.
Who can access the data
The data is accessed by authorised Friendly HR staff who process your enquiry and organise further communication. Enquiry data is not public content of the site and is not available to visitors.
For the operation of the site and storage of enquiries we use Lovable hosting and the Lovable Cloud database. Form data is stored in a database located in the European Union (Ireland). For each new enquiry our staff receive an email notification at our business address office@friendlyhr.rs; it contains the enquiry details and is sent through Lovable's email delivery service. These notifications are stored in the office@friendlyhr.rs mailbox hosted by Adriahost.
Friendly HR is the controller established in Serbia. The fact that the database is located in Ireland does not mean that all processing takes place in the European Union. This draft does not state the processing locations or international-transfer safeguards for the email delivery and mailbox hosting services until that information has been confirmed.
We may provide data to a competent authority where there is a legal obligation to do so.
How long we keep the data
We keep enquiry data for as long as needed to reply, clarify the need and conclude the discussion about possible cooperation. If an enquiry does not lead to cooperation, we keep the data for no longer than 12 months from the last substantive communication, then delete or irreversibly anonymise it. The monthly review covers enquiries whose retention period expires in the following month so they can be removed by the deadline. The review covers the database record, related emails and any exported copies under Friendly HR's control. Obvious spam is deleted without unnecessary retention.
If cooperation begins, data needed to perform the contract and relevant documentation is retained as part of the business relationship and applicable legal obligations. Data that must be retained to comply with a legal obligation, or that is necessary to establish, exercise or defend a legal claim, may be kept for longer, only to the extent necessary and with restricted access, for as long as that obligation or justified need continues. Infrastructure provider backups are deleted according to the provider's own rules, so removal from them may not be immediate.
Your rights
You may request information about the processing and access to your data, correction of inaccurate data, and erasure or restriction of processing where the legal conditions are met. Where applicable, you also have the right to data portability. You may object to processing based on legitimate interest on grounds relating to your particular situation.
If specific processing is based on consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of prior processing. You can change your analytics choice through the “Cookie settings” link in the site footer.
Send your request to office@friendlyhr.rs. Where necessary, we will ask only for the information needed to confirm your identity and protect the data from unauthorised disclosure. We will inform you of the action taken without undue delay and no later than 30 days. Where the legal conditions are met, the period may be extended by a further 60 days; we will inform you of the extension, the reasons and the new deadline within the first 30 days.
If you believe the processing is unlawful, you may lodge a complaint with the Commissioner for Information of Public Importance and Personal Data Protection.
External services and changes to this policy
The site contains links to the Calendly scheduling service, the jobs portal and social networks. When you open such a link, you move to another service that publishes its own information on processing and technologies. The link itself does not mean that data from your form is automatically sent to that service. The jobs portal runs on the Teamtailor platform and has its own notice on candidate data; using an external platform does not reduce Friendly HR's responsibility for the candidate data it processes.
We update this policy when the way we process data or the relevant requirements change. The current version is published on this page.
